Welcome to the graveyard shift. Population: you.

You know the account.

Trial balance line 47. $2.3 million in "Miscellaneous Receivables." Last reconciled in Q2 2019. Four accountants have taken a swing at it since then.

They are all working somewhere else now.

The account is still there. Bigger than ever.

Here is what nobody tells you when you inherit the balance sheet that time forgot: the number is not the problem. The number is the symptom.

The problem is the process that created it. Or more accurately, the complete absence of one.

The Archaeology Nobody Wants to Fund

I have been the fifth person assigned to a reconciliation.

Same account. Same mess. Same executive mandate to "just get it clean by quarter end."

The moment you start digging, you understand why four people bailed. Thousands of transactions with no supporting detail. Acquired company balances dumped in with no mapping. Customer codes that point to nothing. Project dimensions that were never applied.

Everyone wants it reconciled. Nobody wants to talk about how it got this way.

You cannot skip the how. You need to understand what built the balance before you can responsibly adjust it. You need to know the current process before you can fix it. You need to stop the bleeding before you clean the wound.

That sequence is not negotiable.

What AI Can and Cannot Do

"Can AI just clean this up over the weekend?"

No.

AI can process volume once you define the logic. AI can match patterns and flag exceptions. At Novexa, we use AI with Power BI to apply reconciliation frameworks at scale.

But AI cannot create logic that does not exist. AI cannot interpret transactions that were never documented. AI cannot make judgment calls about acquired balances that came in without context.

You build the framework first. Then AI helps you execute it.

The Political Problem

When you start cleaning up years of unreconciled balances, you expose history. History has people attached to it.

The managers who were there when it broke. The systems that were implemented wrong. The decisions that created the mess. When you document what actually happened, you are documenting what was allowed to happen.

Leadership approved that structure.

My approach: insulate the team from the politics. Work methodically. Give leadership only what they need to make decisions. Not the forensic breakdown. Not the full blame trail. The translation.

Here is where we are. Here is what it means. Here is what I need to move forward.

That is accounting as translation.

When the balance finally reflects reality and the process works going forward, nobody throws a party. But you know what you built. The sixth accountant will not have to start from zero.
